How is the venue research free?
We are paid a commission on accommodation in the same way a travel agent is. This is not added to what would be quoted if you source quotes directly - venues include this margin to cover a third party agency such Conference Call or a travel agent. Our commission is (in most cases) outlined on the original hotel proposals you receive, so you can see we are 100% transparent.
Once we have assisted in securing the ideal venue for your event, we then organise a contract to be issued between the venue and your company so that you can be certain there are no hidden costs.
Do you align yourselves with any venues or suppliers?
We dont align ourselves with any venues or suppliers; we offer a completely independent and non-biased conference venue finding service. We are completely honest in our recommendations and are happy to give pros and cons of all venues quoted. If you require advice or suggestions on suppliers, we can provide details of suppliers we have worked with successfully before, however by no means are you obliged to use these suppliers.
Can you come and present to my management team?
Of course we can. Proposals for venue finding are always available on line for you to view, but we are always happy to come and present to you or your management team or organising committee in person.
Do you quote a range of options? For example, I want to consider NSW options but also interstate or possible overseas?
We always quote at least three options (if availability permits). If we are advised in a brief, we will be happy to quote a conference venue in Sydney, conference venue in Melbourne, conference venue Brisbane, Gold Coast, Perth, Adelaide, etc. Or even a conference venue in the Hunter Valley or Central Coast.
Do you have minimum and maximum numbers?
No we don't have a minimum. If it's a conference venue for 5 we'll help you. We'll never say no, but our expertise is in event and incentive management for delegate numbers under 600.
How do I know you are transparent in your work?
We are one of the few event/conference management companies that do not mark up costs. You are welcome to view any original conference venue or supplier documents for both our conference venue finding and event/incentive management services. We do not mark up any costs, so you can view any original documents and be assured you are paying the source quote.
Can I contact venues myself?
After we confirm your booking, we welcome you to contact the venue and make all of the final arrangements. We are always happy to arrange a site inspection where you can see the venue and meet the operators first hand.
What if I have a few venues in mind? Do I tell you or do I contact them myself?
It's always best to tell us if you have certain venues in mind. It always helps when we are proposing the type of venues you are looking for. Perhaps you have a certain conference room or venue in mind but it won't be in the budget or you have the budget but don't realise you can get a really unique conference room or venue at that budget. We have more buying power so in most cases we will make contact with the venues you have in mind and we'll get better rates than you can or value added inclusions.

Yes we do indeed organise corporate incentives. Quite often the corporate incentives evolve from the sales conferences, although they can be independently run incentives. Of course we can assist with all aspects, from the venue finding service, through to registrations, flights and travelling with the group. We have run incentives in a range of destinations, from Far North Queensland to Tahiti, Phuket in Thailand, Siem Reap in Cambodia, Danang and Ho Chi Minh City in Vietnam, China and Canada.
My company wants a conference. I have been appointed conference organiser but am not sure where or how to start?
You need to start with a budget, then a conference venue. We can assist from the outset with a budget and venue finding. You can take it from there using our conference organiser's checklist or you can continue to use Conference Call for our conference management service.
We'll help you find out if you can afford a conference venue in Canberra, conference venue in Hobart, conference venue in NSW, conference venue in QLD, conference venue in Victoria or conference venue in Sydney. If it's a queensland conference venue well help you find the conference venue in the Gold Coast, Brisbane, Islands or Sunshine Coast. We know them all.
Can I use Conference Call just for flights or buses only, but do the registration and hotel myself?
Of course, we urge to you to use our services as little or as much as you need. If it's just conference registrations services, we are happy to help. If it's just a few conference services, such as on-site staff or meet and greet services, we are happy to help. We are the conference planners here to assist you and make your life easier when organising an event. We don't want to take the whole event away from you, so if we can help out even just a little we are happy to do so.
